Jobline Staffing are seeking a responsible Part-Time Clerical/Admin Assistant to perform a variety of administrative and clerical tasks.
Duties include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
Ultimately, the successful person should ensure the efficient and smooth day-to-day operation of our office. Previous experience in a similar role is essential.
Essential Skills:
Proven experience in an administrative role
Strong organisational skills with the ability to multi-task
Excellent time management skills and the ability to prioritise work
Proficiency in MS Office (MS Outlook, Excel and Word, in particular)
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Data input (training available)
General Responsibilities:
Answer and direct phone calls/take messages
General reception duties, being first point of contact for all visitors, deliveries etc.
Deal with incoming and outgoing post and deliveries
Organise and schedule appointments and meetings
Prepare for meetings and take minutes if necessary
Data input of supplier invoices on Sage Line 50 (training available)
Write and distribute email, correspondence memos, letters, and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Update and maintain office policies and procedures
Monitor and order office supplies
Maintain contact lists/site forms
